Asset Management Software Buyer's Guide for East Africa
This guide helps operations, finance, and audit teams evaluate software using practical criteria instead of vendor claims.
1. Define Highest-Risk Workflows
- Asset onboarding and tagging accuracy
- Movement tracking by location and custodian
- Depreciation policy consistency and auditability
- Maintenance scheduling and completion evidence
- Verification cycles and discrepancy resolution
2. Score Vendors with a Weighted Matrix
Use a 100-point model: functionality (35), compliance controls (20), usability (15), integration and API (15), implementation risk (10), and total cost (5).
3. Validate Reporting Before Purchase
Require sample outputs for the fixed asset register, depreciation schedules, location and custodian accountability, and audit log extracts. If reports fail with your test data, treat that as a blocker.
4. Demand Proof in a Pilot
Run a 2 to 4 week pilot with one real department. Measure onboarding speed, data quality, and reporting outcomes before full rollout.
5. Implementation Readiness Checklist
- Asset register baseline and data cleanup complete
- Category and subcategory standards approved
- Depreciation policy documented and reviewed
- Role-based approvals and accountability model defined
- Owner assigned for each business module
